WORKSHOP AND TOURS TERMS & CONDITIONS

TERMS AND CONDITIONS OF BOOKING

DEFINITIONS

1.1 "Workshop" refers to the services offered by Paul Fowles Photography as listed on www.paulfowles.com. All bookings are made with Paul Fowles Photography.

1.2 "Client" is any person or business placing an order with Paul Fowles Photography, including orders placed on behalf of others.

1.3 "Booking" describes the process where a client submits a registration or booking form, pays Paul Fowles Photography, and receives written confirmation that their booking is complete.

1.4 "Force Majeure" includes unexpected events beyond Paul Fowles Photography’s control—such as wars, terrorism, riots, strikes, natural disasters, fires, floods, or severe weather.

1.5 "Underbooking" means not reaching the minimum participant number required for a workshop, as specified in the workshop description.

BOOKINGS AND PAYMENTS

2.1 A non-refundable deposit (amount is stated in each workshop description) is necessary at booking.

2.2 The remaining balance is due six weeks before the workshop starts. If payment isn’t received by then, Paul Fowles Photography may cancel your booking and keep the deposit. For bookings made within six weeks of the start date, full payment is required upfront.

2.3 Receiving a deposit does not guarantee your spot; acceptance will be confirmed in writing.

2.4 Please inform Paul Fowles Photography about any dietary or special requirements before the workshop begins.

2.5 Prices, services, and other details can be changed at any point before a contract is finalised. Any changes will be communicated before the contract takes effect.

CANCELLATIONS / AMENDMENTS

3.1 To cancel, clients must notify Paul Fowles Photography in writing. The date the cancellation notice is received determines the fee:

· 4–6 weeks before: 50% charge

· Less than 4 weeks (28 days): 100% charge

3.2 Paul Fowles Photography may alter or cancel workshops if needed. In such cases, you can accept the change, choose another available workshop of equal or lesser value (with refunds for price differences), or request a full refund.

3.3 Minimum participant numbers for each workshop are detailed in descriptions. If not met, Paul Fowles Photography can cancel the workshop, following the procedures above.

3.4 If Paul Fowles cannot attend due to illness or uncontrollable events, the workshop will be cancelled under the same terms.

LIABILITIES

4.1 Workshop plans can change due to circumstances. Itineraries are guidelines, not binding contracts.

4.2 Paul Fowles Photography is not responsible for losses or extra costs caused by travel delays or interruptions due to weather, strikes, civil unrest, sickness, or force majeure. These costs are the client's responsibility.

4.3 Paul Fowles/Paul Fowles Photography is not liable for injury, illness, or death arising during workshops or while travelling to them. Legal claims are subject to English & Welsh law and courts.

4.4 Clients accept that outdoor workshops involve risk and confirm that they and their group are fit to participate and informed about potential hazards.

4.5 Clients must communicate any need for special care or assistance at or before booking.

4.6 Paul Fowles Photography reserves the right to judge whether participants can safely join and may refuse participation at its discretion.

4.7 Medical personnel do not accompany these workshops, nor are staff trained for medical emergencies. Disclose any health conditions at booking so Paul Fowles Photography can assess safety.

4.8 By booking, clients acknowledge items 4.1–4.7 and release Paul Fowles/Paul Fowles Photography from liability for injury, illness, death, property loss, or related expenses.

INSURANCE AND TRAVEL

5.1 Travel insurance is optional but recommended and the client’s responsibility. Coverage should begin before the workshop and address cancellations, accidents, medical costs, equipment loss, and personal belongings.

5.2 If clients borrow equipment during a workshop, they are responsible for any loss or damage and must cover associated costs.

5.3 Clients must arrive on time at the agreed meeting point. Paul Fowles Photography is not responsible for late arrivals or related expenses and may proceed without delayed clients.

DISPUTES

6.1 If you notice a problem during your workshop, notify the leader immediately to seek a solution. If unresolved, submit a written complaint to Paul Fowles Photography within 28 days after the workshop ends.

6.2 Completing an online booking signifies acceptance of these terms. The person making the booking agrees to these conditions on behalf of everyone included in the booking.
